Bookkeeper unpaid-invoice client intake checklist

A consistent intake helps a practice organise what the client has provided without taking ownership of the client's decisions or implying legal representation.

A bookkeeper using the checklist is not described as providing legal advice, debt collection or court representation.

Client authority and scope

Record the client contact who supplied the information, what the practice is authorised to organise and who will approve any communication or external use.

Invoice and balance facts

Collect the invoice, agreement or order, due-date record, payments, credits and current ledger view. Ask the client to resolve contradictions rather than selecting a preferred figure for them.

Source records and chronology

Collect the original reminders, replies, call notes, promises, disputes and delivery or completion records. Record missing items and identify which system or person supplied each source.

Handoff and ongoing ownership

Confirm who checks the finished record, who decides the next step and how access is withdrawn when the instruction ends. The client retains ownership of its records and decisions.
